Ink Retailers

Create retailer records for the places your studio buys inks from, then link those retailers to ink inventory records.

Ink retailers are the shops, suppliers, or distributors your organization bought an ink from.

You manage them in:

  • ExtensionsInk RegistrationRetailers

Why this exists

Some studios need to keep traceability records showing where a specific ink was purchased.

This can be important for internal compliance workflows and may be legally required in some countries, for example Denmark.

What A Retailer Record Contains

Each retailer record stores:

  • Retailer name
  • Address

Both fields are required when creating a retailer.


Create A Retailer

  1. Go to ExtensionsInk RegistrationRetailers
  2. Click New Retailer
  3. Enter the retailer name and address
  4. Save

Retailers are organization-managed records, so you can reuse the same retailer across multiple ink records.


When creating or editing an ink record, you can optionally choose a retailer.

  1. Go to ExtensionsInk Registration
  2. Create a new ink or edit an existing one
  3. Use the Retailer field
  4. Select one of the retailers you already created

This links the ink bottle/batch to the retailer it came from.

Retailer selection is optional

You do not need to choose a retailer for every ink.

Use it when your studio wants stronger purchase traceability or when your local compliance process requires it.


Active Vs Inactive Retailers

Retailers can be enabled or disabled.

  • Active retailers can be selected on ink records
  • Inactive retailers stay in your records but are not offered as new selections

This is useful when a supplier is no longer used but you still want to preserve historical traceability.


How Retailers Fit Into Ink Registration

Think of the flow like this:

  1. Create retailer records for the suppliers your studio buys from
  2. Create ink inventory records
  3. Optionally link each ink to a retailer
  4. Register those inks on bookings when they are used

This helps keep a clearer chain from:

  • Supplier/retailer
  • Ink bottle or batch
  • Booking where the ink was used
