Members & Invites

Invite members, manage roles and calendar colors, assign locations, and configure revenue targets.

Members define who can access an organization and what they are allowed to see and do.

Invites also let you prepare a few member defaults before the person joins: role, calendar color, revenue target, and default location. These defaults are applied when the invited user accepts the invite.

Invite email must match the account email

The invite is tied to the exact email address you enter. The user must sign up or sign in with that same email address in Subgrid/TatTool. If they use a different email address, the invite will not attach to their account.

Inviting A Member

  1. Go to OrganizationMembers
  2. Open Invites
  3. Click Invite Member
  4. Fill out the invite form:
    • Email
    • Role
    • Color
    • Revenue target
    • Default location

Email (Important)

Invites are tied to the exact email you enter.

The invited user must sign up or sign in using the same email address as the invite. If they use a different email, the invite won't work for that account and you'll need to issue a new invite to the correct email.

Revenue target

Use this optional field to set the member's monthly revenue target before they join. The target is saved on their member profile when they accept the invite and is used by Insight and dashboard widgets.

Default location

Use this optional field to set the member's default location before they join. The selected location must be an active location in the organization.

The default location is a preference, not an access rule. It helps preselect the member's location in places like dashboards, Insight filters, and event forms when that location is available.

Billing seat limits

Invites may be blocked if your plan’s seat limit is reached (active members + pending invites).


Managing Existing Members

In the Members table, use the Actions menu to manage a member:

  • Change role
  • Change calendar color
  • Change calendar access
  • Set revenue target
  • Assign locations
  • Remove member

Roles (High Level)

Roles control what a user can access across TatTool, including:

  • Organization settings access
  • Calendar visibility
  • Payment workflows
  • Insight access

If you’re unsure what a role can do, verify by checking which pages appear in Settings for that user.


Calendar Access

Calendar access is a per-member toggle that lets owners/admins control whether someone can see and work with calendar data, without removing them from scheduling.

When disabled, the member can still log in and be assigned to bookings, but they can’t access the calendar, events, clients, booking-derived financial data, or booking-related notifications.


Revenue Targets

You can set a monthly revenue target per member.

Targets are used in Insight and dashboard widgets to show progress and comparisons. When you view a shorter or longer period, Insight prorates the monthly target across the selected days.

Revenue targets do not block bookings, enforce payments, or control payroll. They are reporting goals used to compare actual revenue against expected revenue.

If you want a location-specific target view, filter Insight to the members assigned to that location.


Default Location

A member's default location is their preferred starting location in the app.

It is used to:

  • Preselect location filters in dashboards and reporting views
  • Preselect the location in event forms when the location is available
  • Reduce setup for members who mainly work from one studio

Default location does not assign the member to that location for capacity reporting. Use Assign locations when you need the member counted for location-based availability, utilization, or capacity.


Assign Locations

Members can be assigned to one or multiple locations.

These assignments are used for:

  • Location-based capacity calculations
  • Location-based filtering in Insight and dashboards
  • Availability and utilization metrics

Location assignments are operational, not cosmetic

Assign locations carefully—Insight capacity and utilization depend on which members are counted for a location.
